Crew is the staff app of Great Life Church and Life Preparatory School. It is how staff clock in, see their schedules and time off, and keep up with their team, and how the church looks after its people. This page explains what Crew keeps about you, why, and who can see it.
Who Crew is for
Crew is for the church’s and school’s own staff and volunteers. Accounts are created by an administrator; nobody can sign up on their own. Anybody may download the app, but only people the church has added can sign in.
What Crew keeps
- Your account: your name, your email address, your role, and the profile photo from your Google account if you sign in with Google. If you sign in with a password, only a scrambled form of it is stored, never the password itself.
- Your time: when you clock in and out, how (with the code on the station screen, through a Face ID door, or entered by an administrator), your schedule, your time-off requests and balances, and any reasons you give for arriving late or missing a day.
- Doors, where the church uses Face ID clock-in: when you unlock a church door, the door’s system tells Crew which door and when, so that your first arrival of the day can clock you in. Crew never receives a picture of your face or any face data.
- Your employment records: the details an employer keeps — your start date, pay rate, documents you have been given or signed, and the steps of your onboarding.
- If you apply for a job: what you send with your application, such as your contact details and résumé.
- On your phone: if you allow notifications, a token that lets Crew send them to that phone. Face ID in the app is handled entirely by your phone; Crew only learns whether it succeeded.
How it is used
To run the church’s staffing: recording hours for payroll, approving time off, onboarding new staff, reminding people of things that are theirs to do, and letting the right people know when something needs attention. Crew has no advertising, does not sell or share your information for marketing, and does not track you across other apps or websites. It uses no analytics services.
Who can see it
You can see your own records. The church’s administrators can see staff records so they can do their work, and a crew leader can see the schedules of the people on their crew. Other staff see only what is shared with the whole team, such as names and photos in the team list.
Skipper, the assistant
Skipper is an assistant inside Crew that answers questions in everyday language. It is powered by Google’s Gemini models through Google Cloud’s Vertex AI. When you ask Skipper something, your question, the conversation so far, and the Crew records needed to answer it are sent to Vertex AI to write the reply. Skipper only sees what you could already see in Crew yourself: your own records, and for administrators the staff records they already work with.
Under Google Cloud’s terms, what is sent to Vertex AI is not used to train Google’s models; Google may hold it briefly to answer quickly and to guard against abuse. Crew does not store your conversations: they stay in your browser or app until you close it. Skipper never sends an email, posts a notice or changes a record on its own — you confirm each one first. Its answers can be wrong, so check anything important.
Who looks after it for us
Crew relies on a few services, each used only to run Crew:
- Google Cloud, which runs Crew, and Neon, which holds its database.
- Google, for signing in with a Google account, and for the church calendars Crew shows.
- Google Cloud Vertex AI, which runs the Gemini models behind Skipper.
- Firebase Cloud Messaging (from Google), which carries notifications to your phone.
- Resend, which sends Crew’s emails.
- Ubiquiti UniFi, the church’s own door system, where Face ID clock-in is switched on.
How long it is kept
While you work or volunteer with the church, and afterwards for as long as an employer is required to keep payroll and employment records. When you leave, your account is closed and you can no longer sign in.
Your choices
- You can turn notifications off in your phone’s settings at any time.
- You can turn off the Face ID lock on the You tab in the app.
- You can ask for a copy of what Crew holds about you, ask for something to be corrected, or ask for your account to be deleted — see deleting your account.
